Sound familiar
Your management system is what the agency is worth — The book of business lives in one place. Its integrity is your enterprise value, and it's usually protected less carefully than the building.
Carrier portals dictate your setup — They still demand specific browsers and versions, so you end up keeping an old machine or an unmanaged workaround alive for one carrier.
Producers work from personal laptops — Client data ends up in local files on machines the agency doesn't own and can't wipe.
A producer leaves for a competitor — And there's no record of what left with them.
Security questionnaires arrive and nobody can answer them — Carriers and larger clients send them. Who at your agency fills that out honestly?
Nobody's mapped where client data actually sits — Between the management system, email, shared drives and personal devices — could you say?
What you’re held to
The FTC Safeguards Rule — Agencies handling consumer financial information are covered. You need a written security program, a named person responsible for it, a risk assessment, access controls, encryption, multi-factor authentication, and oversight of your vendors. (16 CFR Part 314)
North Carolina breach notification — If personal information is exposed, state law sets out what you have to do and when. (N.C. Gen. Stat. 75-60 et seq.)
Carrier requirements — Not law, but increasingly a condition of appointment. Carriers want security attestations, and the answers have to be true. (Your carrier agreements)
